  • Send out application for art and theme camp participation
  •  Review applications and select art and camps to be placed at the event
  • Create placement map for art and camps
  •  Liaise with artists and camps as to questions regarding space and power requirements, etc
  • Liaise with producer(s), and permitting lead re fire permit requirements for art with fire components
  •  Use theme as inspiration for décor
  • Source and create décor for the space (with volunteers)
  • Oversee and lead décor set up on day of event
  • Track and submit décor expenses
  • Liaise with signage, sound and door as to requirements, and with art placement as to space and layout
  • Track and submit expenses within budget
  • Lighting: procure and place lighting in coordination with Power Lead
  • Organize volunteer groups to check in ticket holders with wrist bands, answer questions (where things are, rules for event, etc)
  • Set up and decorate ticketing area on event day, including lighting 
  • Track and submit expenses within budget
  • Fire Show:  
    • Organize group of performers to do fire show
    • Source and purchase fuel and  any materials needed
    • Organize materials as needed
    • Liaise with producer(s), and permitting lead re fire permit requirements
    • Lead a rehearsal on the night of the event
    • Attend fire inspection meeting with Fire Safety lead
    • Track and submit expenses within budget
  •  Fire Safety: 
    • Organize group of trained volunteers for fire tech safety for fire show
    • Source and purchase any materials needed
    • Liaise with producer(s), and permitting lead re fire permit requirements
    • Create fire safety plan (updating the previous year’s)
    • Track and submit expenses within budget
  • Organize acculturation activities at event
  • Source and purchase materials needed
  • Liaise with comms and signage as to pre-event messaging/at event signage requirements
  • Track and submit expenses within budget
  • Work with sound stage lead(s), art/theme camp lead(s), decor, door etc to determine power requirements
  • Rent power equipment required, and ensure equipment returned
  • Organize volunteers for set up and tear down of power equipment
  • Create power map
  • Create or facilitate barriers and structures to contain/limit access to hazards
  • Create map or required safety fencing in relation to hazards
  • Track and submit expenses within budget
  • Organize rangers on site
  • Liaise with producer(s) as to requirements (space, etc)
  • Use theme as inspiration to design an event image for promotion, signage, stickers and decor
  • Create wayfinding plan for venue – consider traffic flow through venue, emergency plans, visibility of signage and attendee behaviour
  • Liaise with all team leads to collect signage requests
  • Source and create signs for the space (with volunteers), source signs/entrance banners from GVIAS storage
  • Create site map in collaboration with Placement team leads
  • Oversee and lead signage set up and strike in venue
  • Design sticker (if any)
  • Track and submit sign expenses within budget
  • Work with Power Lead as to power 
  • Work with producers regarding staging requirements
  • Administer DJ application/selection
  • Liaise with decor if decor requested
  • Organize volunteers for sound stage set up and tear down
  • Organize volunteers to manage sound stage during event (DJs etc)
  • Help create power map for AV company and/or power lead
  • Track and submit expenses within budget
  • Liaise with producer(s), decor, signage, and other leads as to what needed from GVIAS storage and/or other locations
  • Schedule pick-ups and drop-offs
  • Truck rental and return
  • Organize group of volunteers to load and unload items from GVIAS locker to venue (pre and post event)
  • Organize and manage volunteer call outs/volunteer survey/ VOME
  • Liaise with all team leads re use of VOME and how to enter volunteer shifts etc
  • Administer general event volunteer groups for set up and tear down
  • Check all general volunteers in on event day, distribute them to team leads 
  • Organize volunteer food for set up day(s) (book catering, arrange coffee, utensils, plates, cups, etc.)
  • Track and submit expenses within budget allotted by producers
  • Organize extra engagement activities in consultation with producers
  • Provide equipment list needed (tables, chairs, tents, etc.)
  • Liaise Volunteer Coordinator to determine volunteer needs to run activities
  • Manage set up volunteers
  • Liaise with Power Lead and Decor Lead for lighting and power needs
  • Track and submit expenses within budget allotted by producers
